MEDIA KOLFAT Guide

How to organize a large photo library safely

Large libraries become difficult because the files are not only numerous; they are spread across years, devices, backups, and storage locations. A safe workflow reduces the problem into stages.

1. Inventory the sources

List the folders, phones, external drives, USB storage, and backup locations that contain media. Do not start by moving everything into one giant folder.

2. Protect the originals

Keep at least one independent backup of irreplaceable media. If you are testing a new organizer, use copy mode first so the source remains unchanged.

3. Test a representative sample

Choose a small batch containing normal photos, videos, old files, missing metadata, and duplicates. A small test exposes naming and date problems before they affect the full library.

4. Pick one destination structure

Use a predictable structure that can survive future growth. Date-based folders are easy to understand and do not depend on proprietary databases.

5. Review duplicates and exceptions

Identical files, missing dates, unusual formats, and inaccessible files should be visible as exceptions rather than silently discarded.

6. Scale up with reports

For large jobs, use activity history or generated reports to understand what was copied or moved. A successful workflow is one you can explain afterward.
